Thank you very much for your note.

Generally a 90-day lead time is required by the Meetings Team for planning, venue selection, staffing, etc., so scheduling a face-to-face meeting during Panama is not feasible at this late date.

Additionally, in our conversations with the SO/AC chairs, they had indicated that it’s best for the first face-to-face meeting to be conducted outside of an ICANN meeting to allow for dedicated attention.

The current poll shows 11 of 16 members able to attend the proposed dates, the previous showed 10.  We still do not have consensus.  I’m questioning why we are not holding this face-to-face in conjunction with the upcoming meeting in Panama?  I believe we would have a larger majority  if it was.  This would also show good faith to the community we are moving forward vs being stalled.  Can we get a poll of how many members could attend in conjunction with the Panama meeting?  Is there a logistics reason we could not hold this in Panama?

Subject: [Ssr2-review] Second Security, Stability, and Resiliency (SSR2) Review -- Next Steps

Dear members of the second Security, Stability, and Resiliency (SSR2) Review Team (RT),

Thank you for taking the time to fill out the doodle poll we sent you last week to let us know your availability.

At the close of the doodle poll, 6 of the 16 members were unable to attend either of the timeframes offered for the F2F facilitated session of the RT in Brussels. We want to ensure that you, all, have an opportunity to participate in this important meeting and as such, will be looking into other possible dates for this F2F session in the months of August and September.

Soon, we will be sending you another doodle poll with a number of dates/timeframes that are chosen such that they avoid all major holidays and other meetings (e.g. IETF, DNS Symposium, etc.). In the meantime, if you have any restrictions, in terms of timing, etc., please let us know as that will help us avoid timeframes that you will not be able to attend the meeting in person (you may contact us via ssr2-staff at icann.org<mailto:ssr2-staff at icann.org>). Additionally, if you have any suggestions on how better we may be able to select dates that suits everyone’s schedules, we would appreciate hearing from you.

We are mindful of everyone’s busy schedules and fully appreciate how difficult it is to find a common timeframe that fits everyone’s availability. Our hope is that, the new dates that will be offered, would allow the majority, if not all, of you to participate in the F2F facilitated session.
