Hi Raymond,

I agree more clarity and FAQs on health protocols will be helpful but we must bear in mind that it will only be indicative as the situation is ever evolving.

While most countries have eased Covid-19 protocols, not everything can be predicted at this moment as it is a very dynamic situation and countries are implementing/ easing regulations based on situation.

Regards,

Amrita

Hello Maureen and staff,

I have a few questions as below:

1. Since the covid protocols are very cumbersome and expensive, what are the plans of org to assist in bearing the cost of the covid protocols - pre-travel test, arrival test, and departure test, etc?

2. Most countries will require a negative test report before being allowed to board a plane back to our various countries, what are the preparations to get a recognised medical agency on the event venue for this test to be done, free of charge, in order to make life easier for the community.

3. In case someone tests negative before onboarding but upon arrival and the arrival test shows positive, what arrangements are in place to cater for such people like this?

4. What are the preparations in place for people who might test positive to covid at the end of the meeting, in this case, who will not be allowed to travel back home?

I believe a clear Q&A giving ready answers to these questions will help to make travel more comfortable.

Regards,

Raymond Mamattah

FYI

Id like to call a meeting for as many of you as possible who can come to discuss this interesting proposal.

Unfortunately given the tight timeframe we have to work within, and I'm only free on Monday 28 March @ 19.00utc. Apologies for the short notice (and the attached reading) which arrived at our first planning call on the 24th March.

We have until...

1) 31 March for our vote for or against this new meeting format

2)1 April for plenary topics for ICANN74

Its interesting that just when ICANN is looking at how it aims to provide a "hybrid" meeting that will make the participant experience as close as possible to actually "being there", they are throwing in this new format and giving the volunteer section of this community only a week to understand and consider it.

Anyway, I hope staff can organise the call for Monday and that you are able to come. It would be our first ICANN74 planning meeting so thay we can make some decisions. If you can't make it, please add your suggestions for 1 & 2 (above) and any other comments, to this thread. This is your chance to have your say.

Many thanks in advance.

M

Dear community leaders and members of the Community Meetings Planning Group,

Please find attached the relevant materials from the first production call for ICANN74 that we held yesterday with the Community Meetings Planning Group. These are: (1) the preliminary overview of what to expect on-site in The Hague; (2) the slides used on the call; and (3) the requested summary of the proposal to pilot a limited, thematic approach for ICANN74.

Please also note the following dates and additional points:

1.	On Item (1) – We will be making additional and more detailed information available on 31 March, and updating that information regularly as the meeting dates draw nearer.
2.	On Item (2) – While we anticipate maintaining the enclosed production schedule, please refer to the summary proposal document for an UPDATED illustrative block schedule.
3.	On Item (3) – As requested, we have prepared a summary of the proposal to pilot a thematic approach for ICANN74. The summary document UPDATES a number of points that were in the original slides, based on the group’s feedback and discussion during the call. These include:

*	Suggesting that the pilot be limited to just one daily track rather than two or more themes across the meeting;
*	Updating the block schedule to reflect an additional slot (Block 5); and
*	Clarifying the differences between a “plenary” session and a “thematic” work track.

We hope that the summary proposal addresses the questions that were raised during the call. We hope that, in accordance with the deadlines proposed in the paper, your community groups can provide feedback as follows:

*	By 31 March – on the proposed thematic pilot; and
*	By 1 April – on plenary sessions.

Please refer to the summary proposal for more details about these requests and deadlines. Thank you!

Cheers

Mary (on behalf of the org team supporting ICANN Public Meeting planning)
