Agreed. Thanks for the suggestion Kerry-Ann.  Hopefully keeping the face-to-face meeting details on this thread and addressing calls and other details separately will make it easier for members to stay on top of things.

2) F2F meeting:
All – Since the number of North Americans on the team are by far the largest contingent (followed by EU), and since one of our legacy members lives in DC and can’t travel, I’d like to suggest that we meet in DC instead of Brussels. What do Team members think?  This not only would allow Kerry-Ann to join us, but also likely would be a more cost effective option, given the proximity of a number of members and the availability of an ICANN office.

Also, I’d like to re-open discussion of the timing of our F2F meeting. Before we agree to meet 3 months from now, I’d suggest we first consider whether there’s a sooner time slot that’s good for everyone. There may not be, but I think it’s worth checking. Would everyone please copy/paste and complete the following in an email to Yvette and Alice (off-list to yvette.guigneaux@ … and alice.jansen@ …. ) by COB Thursday:

I CAN NOT do an SSR2 meeting for 2 or 3 days in:
JUNE (add black-out dates):
JULY (add black-out dates):
AUGUST (add black-out dates):

(Alice/Yvette: we’d really appreciate your help in reporting the results, flagging good slots.) If we find we have an earlier window, we can then explore lining-up the logistics.

While I understand that ICANN staff ideally wants 3 months to arrange meetings, SSR2 is in a unique position. An exception was made when the Board paused the Team; I think an exception can be made to get the Team restarted. Not only are we a relatively small group, but we also are way behind schedule (thanks to the great pause). We have 11 volunteers who have been on this team for over a year and planned to be done with the work about now. I think it’s important to acknowledge the imposition of asking volunteers to restructure their work and personal lives to substantially extend this commitment, and make sure we’re acting expeditiously for all concerned. I also would note that there was an SO/AC chair expectation that our work re-start by the Panama meeting. I think we’re all eager to get this going. ;)

Just wanted to suggest us consolidating the coordination of the meeting under one email thread.  Right now we have this one and another ‘Calls and Meetings’, with two different approaches suggested.

Should you find it helpful, we are happy to send a doodle poll out to help the review team identify a time for a conference call (suggested by Eric and Denise) prior to ICANN 62. Attached to this email you will find the complete list of review team members and their geographical regions. In light of the geographic diversity on the team, we suggest including a number of proposed time slots to accommodate all schedules.
We would also welcome your input on whether to proceed with the 22-24 August dates for the facilitated face-to-face session. As ICANN org needs a 90-day window to organize a face-to-face meeting, per the process in place, please confirm at your earliest convenience whether we may lock these dates and launch preparations accordingly. Per the doodle poll, 11 out of 17 members are available to attend the meeting in-person. Dial-in details can be made available for the 6 members who cannot join in person. The proposed location is the ICANN office in Brussels, Belgium.

Hi all,

We've only received a few responses for a call on Monday (tomorrow).  It looks like we likely won't have enough participants to warrant a call, so let's plan to not have a call tomorrow.  Do you all think it would be worthwhile to try to find a time that does work for a "hi, how are you, welcome to the new members, and welcome back to the review" and "what do people think we should start with" kind of call in the next week or two?

Would people please send your thoughts to the list on this?  Thanks!

I will arrive in Panama on Sunday afternoon. We will have our German
Evening on Sunday (get together with german speaking community - it's
always held on Sunday before the official ICANN Meeting). I will stay in
Panama until Friday and would really appreciate it, if we could find
time for a drink or meal/dinner.
