[AT-Review] Doodle Issue

Dear Alice,

Thanks for this reassurance. I still have no recollection of having
answered the Doodle (in any case the recorded answer was correct), but it is
one of the advantages of IT that it provides us with a record of what was
done. My apologies.

However, this incident shows that the Doodle is available to anyone having
the right link (is this correct?) and it allows multiple answers, also in
somebody else's name.

This would imply that we should not be making public the e-mails with the
links to the Doodle polls. Or that we should be making e-mails available
only well after the Doodle pools have been closed. Both solutions will be
difficult to implement/monitor.

What could we do? I find the Doodle pools for dates of meetings, calls
etc. very practical and useful. I would like to go using the system. I
like the fact that it tells you what other people have already selected; I
am sure this helps to identify practical outcomes. This would be lost if
we simply sent inputs to you (apart from the extra work this would imply for
you).

If no easy solution can be found, let's continue as now. I do not believe
the risk of interference on the selection of dates is significant. It is
clear, however, that we should not be using the Doodle for votes within the
group.

All the best,

Fabio

Dear Fabio,

Thank you for your email.

Please find enclosed the notification of your participation in the Doodle
poll which indicates the following date - Thursday, May 06, 2010 5:43 PM -
very shortly after the end of the F2F meeting in Mdr.Also, rest assured that
this link was circulated to the RT internal email list only.

I do not know whether these time indications are helpful to you but I do
believe that if the team does not feel comfortable using Doodle polls, then
we should find an alternative.

I will send an email to the IT team so as to obtain information on online
surveys and will provide you with suggestions as soon as possible. If
agreed, I could also be the central repisotery for surveys, for instance:
Members would send emails with their reply and I would create a chart or
Excel sheet... Please feel free to submit your ideas.

Thank you,

Yours,

Alice
