Dear Joan,

Please, do let me know in advance (as soon as you have plans in place) for Montreal and i will also put this in fellows’ agenda to participate.

As for Kobe, fellows who are not from civil society or end users sector, they were participating in other sessions, but those who were interested, at least were able to come (even not for the whole session).

Best

Hi Siranush,

Thanks for your response. I do understand that the schedule changes and all the other events you have to juggle as well. however, in this case, the impression that the Fellows would be in attendance in Kobe and that's what I wanted to address.

Our next joint session with ALAC is in Montreal, so there is lots of time to try and schedule it for the Fellows to attend.

Regards,

Dear Joan,

Thank you very much for your note. It is well received and noted.

One point which I agree with you is the scheduling. Due to several parallel sessions on Monday at the same time when NPOC-At-Large outreach session was taking place, fellows were given the opportunity to participate in the sessions per their sector of interest. Such as, there were Tech Day session/workshop, GNSO review of all rights protection of gTLDs, GAC meeting with the Board, which all took at the same time, and all of them were put in Fellows’ agenda to participate based on their sector of engagement. That was the reason why many of Fellows didn’t stay at your session till the end.

If staff/community can plan in advance, like with did with At-Large for their outreach session with NCUC, and which was not conflicting with other mandatory sessions (which I know is always a challenge not to have any conflicting sessions in parallel), we will be able to make sure Fellows’ participation.

Hope next time we will be able to come up with better planning for all outreach events/high topic workshops/sessions not to take place at the same time.

Best

Subject: [Ext] Joint session NPOC/ALAC

Dear Siranush,

I am writing this email on my own behalf

I am writing to express my dismay that the Fellows did not stay for the NPOC/ALAC joint session held on March 11th, in Kobe, Japan

Leading up the Event, a lot of consideration was given to the messaging and the outcome. One of the expected outcomes was the input of the attendees to let us know firsthand what NPOC could do to encourage their participattion. It was significant due to the collaborative and informational nature of the session. It was designed around audience participation. Both the ALAC Chair and I thought it significant to have an interactive session. Fellows would have the opportunity to ask questions of both groups and create meaningful dialogue and networks. There were presentations on ALAC, NPOC and a citizen GDPR initiative, topics that would educate and engage the Fellows.

There were a number of Fellow who expressed their disappointment for not being able to stay to hear the presentations and ask questions to both NPOC and ALAC. We were equally disappointed.

Here are my concerns:
1) ICANN Staff is responsible for the meeting schedule, combined with the invitation, how difficult is it to schedule  for the meetings, how hard is it to work within the schedule to enable Fellows to attend sessions that would significantly educate them;
2) How can Fellows work with NPOC; and
3) How can we ensure that, at least from NPOC's perspective that we work more closely to engage the Fellows in the future.

As NPOC move forward, the expectation is to incorporate more Fellows to give back to the community and become more attached to the Constituency

Thanks,
