[NPOC-EC] Marketing Materials

Hello Jane,

I am writing this email on my own behalf as a volunteer

Thank you for printing the brochures and Constituency cards for Kobe Japan.
They were very useful.

In many discussion with Adam Peake, I was told that Comms provides support
for printing materials and other services.  However, to my great
disappointment, two of NPOC's submissions were rejected -the buttons &
colour Constituency cards.   It is important to note that the members of
the NPOC ExCom spent precious time in designing and consulting to choose
the right materials.  The disappointment is not so much about not getting
the items, but the cavalier way in which it was handled. It's not good
enough to say we can't do it.  Instead, it would have been respectful to
ask how can we support you in getting it done, which would communicate
respect for time used to design the materials. Communication is a two way
process.

The importance of Kobe was to launch the NPOC marketing strategy and to
create excitement to encourage participation in the ICANN Policy
Development Process, so the materials were really important to do that.
The importance of the buttons was to create excitement around events such
as the Joint Session and Constituency Day, of course that did not happen. I
am only mentioning this to avoid wasting volunteer precious time in the
design process.

Might I suggest that in the future, it would be respectful to outline the
criteria , not just the dates for submitting materials for printing but
under what criteria and that time allows for alternate submissions.   I
think its unfair to ask volunteers to design its own materials submit them
and have them discarded with no follow up or options to achieve the goals
of outreach & engagement.

Please advise how NPOC and Comms can work together to get the requests
done, to make this a two way and collaborative process.
